Power Electrics: From a print audit to a fully managed fleet of A4 devices

After a joint print audit, we replaced Power Electrics’ off-the-shelf A4 desktop devices with a fully managed fleet on a per-copy maintenance plan.

Challenge
Off-the-shelf A4 desktop devices in Power Electrics’ offices were struggling with the volume of work, and staff had to order every ink cartridge by hand.
Solution
With the IT department, we audited print volumes, spend on each device and daily pain points, then installed a fully managed fleet on a per-copy maintenance plan.
Outcome
Far lower running costs mean the total cost of ownership has been significantly reduced, and replacement cartridges are now ordered remotely.

Power Electrics provides diesel generator hire, sales, service and parts from a single source. The company has grown from a small yard in 1963 to five locations across the country, including a London sales office and the UK’s largest purpose-built generator depot, with a fleet of over 1,200 generators and 25 heavy goods vehicles (HGVs).

The challenge

Power Electrics asked us to help review its office desktop print, copy and scan requirements.

The company already knew the benefits of managed print: its main A3 office multifunction devices were on a fully managed service. This project was about the additional off-the-shelf A4 desktop devices in place throughout its many offices.

Power Electrics needed those smaller machines to do what the larger devices could, including scanning multiple pages, with full maintenance cover if a fault occurred. The existing A4 machines were struggling to cope with the volume of work, and the business knew it was spending unnecessary amounts on ink cartridges, each of which staff had to order by hand.

Partnering with an industry expert was a priority.

What we did

Together with Power Electrics’ IT department, we carried out a full audit, analysing print volumes, the spend on each device and the daily pain points for users.

Power Electrics then appointed us as its new print partner, and we installed a fully managed solution:

  • a new fleet of A4 devices on a per-copy maintenance plan
  • remote ordering of all replacement cartridges, in place of the manual process
  • a service level agreement, so that service requests are responded to correctly and resolved within the agreed time
  • low-power mode on every device when it is not in use during the working day
  • our used toner recycling scheme

The result

The new devices had a higher capital cost than the legacy machines, but the per-copy maintenance plan gives far lower running costs, so the total cost of ownership has been significantly reduced. Placeholder: the reduction in total cost of ownership, if Power Electrics will share a figure (Q23)

Staff no longer order cartridges by hand, and the low-power settings and toner recycling help both Power Electrics and Enhanced keep to their environmental policies.

Enhanced showed a dedicated interest in helping us accomplish our objectives from the outset. Their service and operations department continue to work closely with our IT team, providing efficient and cost effective print solutions for all our business needs.
